How do I set up Busy Landlord for the first time?
After downloading, open the app and tap Get Started. You'll be prompted to create an account (or sign in with Apple/Google). Then add your first property using the + Add Property button on the dashboard. The setup wizard will guide you through adding units, tenants, and lease details.
What types of properties does Busy Landlord support?
Busy Landlord supports all common residential property types including:
  • Single-family homes
  • Duplexes and triplexes
  • Multi-unit apartment buildings
  • Condos and townhomes
  • Commercial units (basic support)
You can manage an unlimited number of properties and units from one account.
Is there a limit on how many properties I can add?
The free tier supports up to 2 properties. With a premium subscription, you can add unlimited properties and units. Upgrade anytime from Settings → Subscription.

How do I add a new property?
From the dashboard, tap + Add Property. Enter the property address, type, number of units, and any notes or photos. Once saved, you can add individual units (e.g., Unit 1A, Unit 2B) and assign tenants to each.
Can I add photos of my property?
Yes. On any property page, tap the photo icon or the existing image to add or replace photos. You can add multiple photos per property and unit. Photos are stored securely in your account.
How do I mark a unit as vacant?
Open the unit detail page and tap Edit Unit. Set the status to Vacant. Vacant units are highlighted on your dashboard so you can track vacancies at a glance and plan accordingly.
👤 Tenants & Leases
How do I add a tenant?
Open a property, select a unit, then tap Add Tenant. Enter the tenant's name, phone, email, move-in date, lease start/end dates, and monthly rent amount. The app will automatically schedule rent reminders based on your settings.
Can I store lease documents and signed agreements?
Yes. Inside each tenant profile, tap Documents → + Upload. You can attach PDFs, photos, and files directly from your device or cloud storage. Documents are securely stored and always accessible.
How do I handle a lease renewal?
Open the tenant's profile and tap Renew Lease. Update the new end date, monthly rent, and any changed terms. The app will archive the old lease and create a new one — keeping a complete history of the tenancy.
Can I track tenant contact history and notes?
Yes. Each tenant profile has a Notes section where you can log calls, emails, conversations, or any important events. Notes are timestamped automatically so you always have a record.
💵 Rent & Payments
How do I record a rent payment?
On the tenant's page, tap Record Payment. Enter the amount, payment date, and method (cash, check, Venmo, Zelle, bank transfer, etc.). The payment is immediately reflected in the rent ledger and your income reports.
How do late fees work?
Configure late fee rules in Settings → Late Fees. Set a grace period (e.g., 5 days after due date) and a flat dollar amount or percentage. The app will flag overdue accounts and can optionally add the fee to the tenant's balance automatically.
How do I set up rent due reminders?
Go to Settings → Notifications → Rent Reminders. You can choose to receive a reminder before rent is due (e.g., 3 days prior) and a notification when it becomes overdue. Reminders can be set per property or globally.
Can I view a full rent collection history?
Yes. Go to Reports → Payment History. Filter by property, unit, tenant, or date range. You can export the full history as a CSV file for your records or accountant.
🔧 Maintenance
How do I log a maintenance request?
Tap Maintenance in the bottom navigation, then + New Request. Select the property and unit, describe the issue, set a priority (Low / Medium / Urgent), and optionally attach photos. Update the status as work progresses: Open → In Progress → Resolved.
Can I track repair costs and vendor information?
Yes. On any maintenance request, tap Add Cost to log labor and materials expenses. You can also save vendor names and contact info for future reference. All costs automatically flow into your property expense reports.
Can I attach photos to maintenance requests?
Absolutely. When creating or editing a maintenance request, tap the camera icon to add photos from your device. This is useful for documenting damage before and after repairs.
📊 Reports & Taxes
What reports can I generate?
Busy Landlord generates several report types:
  • Income & Expense Report — total rent collected vs. costs by property
  • Net Operating Income (NOI) — income minus operating expenses
  • Rent Roll — current tenant list with rent amounts and statuses
  • Vacancy Report — occupied vs. vacant units over time
  • Maintenance Cost Breakdown — repair expenses by property
Can I export data for my accountant or tax preparation?
Yes. All reports can be exported as CSV (for spreadsheets) or PDF. Go to Reports, choose your report type, apply the desired date filters, then tap the share icon in the top-right corner.
How do I categorize expenses for tax purposes?
When logging an expense, select from tax-relevant categories such as Repairs & Maintenance, Insurance, Utilities, Property Management, Mortgage Interest, and Depreciation. These map directly to Schedule E categories used in U.S. rental property tax filings.
🔐 Account & Data
How do I back up my data?
Your data is automatically backed up to the cloud when you're signed in. You can also manually trigger a backup from Settings → Data & Backup → Back Up Now. Data is encrypted in transit and at rest.
How do I transfer my data to a new phone?
Simply install Busy Landlord on your new device and sign in with the same account credentials. Your properties, tenants, payments, and documents will restore automatically.
How do I delete my account?
See our step-by-step Account Deletion Guide. Please note that deleting your account permanently removes all your property data, tenant records, and payment history and cannot be undone.
